Information We Collect

Information You Provide Directly:

  • Account registration data (name, email address, company, password hash);
  • Billing information — processed securely by our payment processor (we never store raw card numbers);
  • Email account credentials — stored encrypted, used only to send/receive on your behalf;
  • Contact lists, campaign copy, and data you upload to the platform;
  • Communications with our support and sales teams.

Information Collected Automatically:

  • Log data: IP address, browser type, pages visited, timestamps, referring URLs;
  • Device information: operating system, browser version;
  • Usage data: feature interactions, campaign performance metrics;
  • Cookie and tracking data (see our Cookie Policy for full details).

How We Use Your Data

We use collected data to provide, maintain, and improve the Service. Specifically:

  • To deliver the email automation and campaign management features;
  • To process payments and manage subscriptions;
  • To send transactional emails (account confirmation, billing receipts, security alerts);
  • To send product updates and marketing communications (opt-out anytime);
  • To analyze aggregate usage trends to improve the platform;
  • To detect, prevent, and resolve fraud, abuse, and security issues;
  • To comply with legal obligations.

Legal bases for processing: contract performance (delivering the Service), legitimate interests (platform improvement and security), and consent (marketing communications).

Data Sharing & Third Parties

We do not sell your personal data — ever. We share data only in the following limited circumstances:

  • Service Providers: Vetted vendors for cloud hosting, payment processing, and analytics who are contractually bound to protect your data;
  • Legal Requirements: When required by law, court order, or government authority;
  • Business Transfers: In the event of a merger, acquisition, or sale of assets — you will be notified in advance;
  • With Your Consent: Any other sharing will require your explicit approval.
Important

Your email content, recipient data, and campaign information are never used to train AI models, build advertising profiles, or shared with any third party for marketing purposes.

Email Infrastructure & Credentials

TabEmail connects to your email accounts via OAuth or SMTP/IMAP to send on your behalf. Your credentials are handled as follows:

  • Encrypted at rest using AES-256 encryption;
  • Transmitted exclusively over TLS 1.2+ encrypted connections;
  • Never accessed by TabEmail staff except in response to your explicit support request;
  • Deletable at any time from your account settings.

Email content processed through the platform is stored only as long as necessary to manage sending queues and campaign records, and is never used for any purpose other than delivering your campaigns.

Upon account deletion, we permanently delete or anonymize your personal data within 30 days, except where legal obligations require longer retention (e.g., billing records).

Security

We implement industry-standard security measures to protect your data, including:

  • AES-256 encryption for data at rest;
  • TLS 1.2+ for all data in transit;
  • Multi-factor authentication support for all accounts;
  • Regular security audits and penetration testing;
  • Role-based access controls for TabEmail staff;
  • SOC 2 Type II compliance in progress.

In the event of a data breach affecting your personal data, we will notify you as required by applicable law within the legally mandated timeframe.

Your Rights & Choices

Depending on your location, you have the following rights regarding your personal data:

  • Access: Request a copy of all personal data we hold about you;
  • Correction: Request correction of inaccurate or incomplete data;
  • Deletion: Request permanent deletion of your personal data ("right to be forgotten");
  • Portability: Receive your data in a structured, machine-readable format;
  • Objection: Object to processing based on our legitimate interests;
  • Opt-Out: Unsubscribe from marketing emails at any time via the unsubscribe link.

GDPR & CCPA Compliance

EU/EEA Residents (GDPR): If you are in the EU or EEA, you have additional rights under the General Data Protection Regulation. International transfers outside the EEA are conducted under Standard Contractual Clauses (SCCs) approved by the European Commission.

California Residents (CCPA): If you are a California resident, you have the right to know what personal information we collect, the right to delete it, the right to opt-out of sale (we do not sell personal information), and the right to non-discrimination for exercising your privacy rights.

Children's Privacy

TabEmail is not directed to anyone under 18 years of age. We do not knowingly collect personal information from minors. If we discover we have inadvertently collected such data, we will delete it immediately. If you believe this has occurred, contact us at privacy@tabemail.com.
